Clause 4.2 of ISO 9001:2015 “Understanding the needs and expectations of interested parties” states that an organization shall:

  • Identify the interested parties that are relevant to the QMS.

  • Identify the relevant requirements of these interested parties.

  • Monitor and review information about these interested parties and their relevant requirements.

In fact, an interested party is defined as “a person or organization that can affect, be affected by, or that feels itself affected by a decision or activity of the organization”.

Examples of Internal and External Interested Parties

Interested parties can be both internal and external to an organization. Here are a few examples of internal and external interested parties:

Internal Interested Parties:

  • Employees – Their relevant needs are safe working conditions, fair pay, proper job description, training, etc.

  • Management – Their needs are strategic direction, performance, resource allocation, etc.

  • Owners/Shareholders – Their requirements are profit, return on investment, ethical governance, etc.

External Interested Parties:

  • Customers – Their basic requirements are quality products/services, delivery, support, etc.

  • Suppliers/Providers – Their requirements are specification, payment terms, good relationship, etc.

  • Regulators/Government Bodies – Their requirements are legal and regulatory compliance, permits, reports, etc.

  • Competitors – Even though they might not interact with the organization, they can still influence the requirements of the QMS.

  • Local Community – Their requirements are noise, traffic, pollution reduction, etc.

  • Banks/Financial Institutions – Their requirements are financial stability, and compliance with loan agreements, etc.

ISO 9001 emphasizes on the achievement of customer requirements and applicable regulatory requirements. In fact, ISO 9001 is about meeting customer and regulatory requirements and striving for continual improvement.   1. Interested Party Name/Group – Give a name to the interested party. This name could be generic, for example, “Customers – Residential”.

  2. Relationship/Type – Specify whether the interested party is internal or external. Additionally, you could also specify the type, for example, Customer, Supplier, Regulator/Employees, etc.

  3. Relevant Requirements/Expectations – This section should capture the needs and expectations of the interested party. These requirements could be explicit or implicit. These could also be based on a contract or unspoken. You must be specific in this section. Give examples whenever necessary. For instance:

    • For Customers: “Products must meet specifications”, “Products must be delivered on time”, “Customer service is responsive”.

    • For Employees: “The working environment must be safe”, “The employee must be compensated fairly”, “The employee receives training”, etc.

  4. Impact on QMS (Risks & Opportunities) – Describe the impact the requirements will have on the QMS. Identify risks and opportunities. For instance:

    • If “Products must be delivered on time” (Customer requirement), then the risk will be related to customer dissatisfaction/delivery failure and the opportunity will be related to customer loyalty.

  5. Monitoring Method/Frequency – Describe how you will monitor the above-mentioned requirements and how frequently. For instance:

    • “Subscription for regulatory updates (monthly)”, “Feedback sessions with employees (Bi-annually)”.

  6. Actions Taken/Response – Describe the action that the organization has taken or will take to address the requirements. For instance:

    • “New order tracking system has been implemented”, “Safety procedures updated”, “New training program developed”, etc.

  7. Responsibility – Specify who is responsible for this relationship.

  8. Date of Review/Update – Specify the last date when this register was reviewed or updated.

How to Implement and Maintain Your Interested Parties Register?

Now that we have created an interested parties register template, it is time to populate it. A list of interested parties can be long; therefore, you might need a lot of time and effort to populate the register. But there are some easy steps you can follow to ease the process.

The Steps Involved in Implementing an Interested Parties Register

  1. Brainstorm a list of interested parties – You can have a brainstorming session with your QMS team and come up with a comprehensive list of interested parties. There are no restrictions at this stage; therefore, you can include everyone.

  2. Document relevant requirements – After identifying the list of interested parties, it is now time to document their requirements. You could refer to contracts, legal documents, surveys, minutes of meetings, etc.

  3. Assess impact on the QMS – After documenting all the requirements, assess their impact on the QMS. At this stage, you should also identify the relevant risks and opportunities related to the requirements.

  4. Determine the method/frequency of monitoring – Determine how and how frequently you will monitor the requirements mentioned in the register.

  5. Document the actions taken – Document the relevant actions that have been taken or will be taken to address the requirements of the interested parties.

  6. Assign responsibility – Assign responsibility to the relevant person/process.

Additionally, it is crucial that the register is reviewed and updated on a regular basis.
